This instrument is comprised of an Index of Authors and an Index of Subjects. Both have been compiled through computerisation based on a database and a programme specifically designed to process this information.

The criteria used to compile the indices are as follows:

- Index of Authors: includes all authors who have published works in the different sections of the Journal. For works signed by two or three authors, each author appears individually; for more than three authors, only the first author appears followed by «... et al.»

Furthermore, authors whose work has not been published, only reviewed in the Journal, have also been included in the index.

The list also includes information after the author’s name, such as the title of the work, Journal issue in which it was published, pages on which it appeared, and a reference to the section of the Journal as follows:

  • (A) Article.
  • (D) Debate.
  • (I) Inventories and Catalogues.
  • (R) Journals.
  • (DOC) Documents.

Take, for example, the following article published in issue 28 of the Journal.

As mentioned above, in the case of journals, both the author of the journal and the author of the reviewed work are included in the list. As an example, we will use the journal written by Enrique Pérez Fernández in issue 18 of the Journal concerning an article written by José Antonio Ruiz Gil and Juan-José López Amador «Aplicación de la metodología arqueológica al estudio de las edades moderna y contemporánea», published in issue 189 of the Journal of Archaeology.

The author of the journal will appear in the Index of Authors:

· PÉREZ FERNÁNDEZ, ENRIQUE.
«Application of the archaeological methodology to the study of modern and contemporary eras». Issue 18. Pgs. 136-139 (R).

The reviewed author or authors will also appear in this Index, as long as there are less than three. If there are more than three authors, they will not all appear in the Index:

· RUIZ GIL, JOSÉ-ANTONIO.
«Application of the archaeological methodology to the study of modern and contemporary eras». Issue 18. Pgs. 136-139 (Rev. by Pérez Fernández, Enrique).

· LÓPEZ AMADOR, JUAN-JOSÉ.

Rev. by (Reviewed by...) indicates the work was not published, but reviewed, in the Journal, carried out, in our example, by Pérez Fernández.

In the case of documents: the author of the article explains the document written by another author, with or without mentioning him/her, and adds either an introduction, notes, or carries out a study concerning this document. Both authors will appear in the Index of Authors. As far as the author of the document is concerned, the code (DOC) will not be used, but the fact that it is an introduction, notes or a study will be specified in parentheses, as well as the author of those notes or study.

For example, in issue 11 of the Journal, page 115, the author of the document is mentioned:

· SANCHO DE SOPRANIS, HIPÓLITO.
«Notes on the most prominent buildings of El Puerto de Santa María». Issue 11. Pgs. 115-133.  (Introduction and notes by Cabral Chamorro, Antonio and Guzmán Oliveros, Natividad).

· CABRAL CHAMORRO, ANTONIO.
«Notes on the most prominent buildings of El Puerto de Santa María». Issue 11. Pgs. 115-133. (DOC).

· GUZMÁN OLIVEROS, NATIVIDAD.
«Notes on the most prominent buildings of El Puerto de Santa María». Issue 11. Pgs. 115-133. (DOC).

 

 - Index of Subjects: we have attempted to include a wide variety of identifiers in order to give as much information as possible about the subjects dealt with in the different issues published. As such, many of the works published may be included under more than one heading.

Take, for example, the article published in issue 134 «Matrimonios y bautismos en El Puerto de Santa María durante la primera mitad del siglo XVII» by Isabelle Lelaidier, which appears under various headings:

· DEMOGRAPHY.
«Marriages and baptisms in El Puerto de Santa María during the first half of the seventeenth century». Lelaidier, Isabelle. Issue 13. Pgs. 43-67 (A).

· MARRIAGE.
«Marriages and baptisms in El Puerto de Santa María during the first half of the seventeenth century». Lelaidier, Isabelle. Issue 13. Pgs. 43-67 (A).

As can be observed, each entry in the Index of Subjects will include the title of the work, the name of the author, the issue of the Journal in which it was published, the pages on which it appeared and the identification code of the section in which it was included: (A) Article, (D) Discussion, ...

Furthermore, as in the Index of Authors, the works that were not published, but reviewed, in the Journal are also included in the list. In this case, the entry includes the title of the reviewed work, its author, the issue of the Journal and the pages on which it appeared and, in parentheses, the author of the journal, as follows: (Rev. by...).

For example, the article «Introduction to the nineteenth century fishing sub-sector in El Puerto de Santa María» was written by Javier Maldonado Rosso and published in issue 3 of the Journal «Trocadero», and was reviewed by José Ferrer Andrade in issue 11 of the Journal.

In the Index of Subjects, it will appear as follows:

·FISHING.
«Introduction to the nineteenth century fishing sub-sector in El Puerto de Santa María». Maldonado Rosso, Javier. Issue 11. Pgs. 149-152.  (Rev. by Ferrer Andrade, José).

In the case of documents: the title, its author (if mentioned), and the issue of the Journal and pages in which it appeared will be included. Also, a description of the document (introduction, notes or study) will be specified in parentheses, as well as the author or authors:

· HIDALGUÍA.
«Study on the oldest letters patent of nobility preserved in El Puerto de Santa María. Linaje Toledo-Carvajal. (I)». Issue 24. Pgs. 49-104. (DOC). (Study by Piqueras García, María-Belén).

·ARCHITECTURE.
«Notes on the most prominent buildings of El Puerto de Santa María». Sancho de Sopranis, Hipólito. Issue 11. Pgs. 115-133. (DOC).  (Introduction and notes by Cabral Chamorro, Antonio and Guzmán Oliveros, Natividad).

In the first example, taken from issue 24 of the Journal, we see that the author is not mentioned. In the second example, however, the same example previously used for the Index of Subjects, the author is indeed mentioned: Hipólito Sancho de Sopranis.
